Letters of Accommodation

Instructors can log-in to the Faculty Portal to view Letters of Accommodation for students registered with the Office of Accessibility Resources who have requested accommodations. Student Letters of Accommodation will also be delivered directly to faculty RMC email accounts each semester following the student’s request for disability accommodations in their courses.

Assessment Proctoring for Students Registered with Accessibility Resources

If an instructor and student with accommodations determine that the student will take assessments (for example, quizzes, exams, or finals) in the Office of Accessibility Resources, the instructor should complete a testing agreement form for each course in the Faculty Portal to describe the required guidelines and assessment procedures for the entire class. If an instructor has multiple sections of one course, or their guidelines and procedures are the same for several courses, they may indicate this on their testing agreement and will not need to complete multiple agreements. If their assessment guidelines or procedures change or they have different guidelines for different assessments in the same course, they will be able to indicate this on an additional form in the Faculty Portal prior to the date of the scheduled assessment.

Frequently Asked Questions from Faculty

I just received a student’s accommodation letter. What do I do now?
  • Accessibility Resources (AR) encourages students to provide their accommodation letters to their instructor and meet with them to discuss the logistics regarding their accommodations that semester (this is not to say that it is optional to provide accommodations—it just means that some accommodations require collaboration/planning for implementation).
  • If a student does not set up a time to meet, we recommend reaching out to the student to chat with you during office hours.

I received a new accommodation letter for a student who has additional accommodations. Do I need to apply those accommodations retoactively?

Instructors should apply accommodations once they receive the student’s accommodation letter from Accessibility Resources. Unless otherwise indicated, accommodations are not to be applied retroactively.

One of my students is approved for audio recording of lectures. What does this mean, and when is it allowed?

Audio recording is considered a note-taking accommodation, and students are responsible for making their own recordings. However, recording may not be appropriate in certain classes—like discussions involving sensitive personal information—where notetaking could disrupt the environment. In these cases, instructors may ask the entire class not to take notes during specific parts to protect privacy. Students approved for recording must sign an Audio Recording Agreement.

Should I accommodate students who have self-identified, but have not given me an accommodation letter?
  • In order to ensure that the student has a full understanding of the scope of Accessibility Resources (AR), you should refer the student to our office.
  • If a student has a temporary condition (e.g., stomach flu, broken arm, surgery recovery), you may need to make a temporary arrangement to assist in these sudden situations. Please continue to refer students with health conditions or disabilities to our office if there is an ongoing need for accommodations.
Am I allowed to determine accommodations for a student who is not yet registered with Accessibility Resources?

In short-term situations like illness or injury, you can make reasonable arrangements for students—such as rescheduling exams or allowing typed responses—if it’s something you’d offer to any student and doesn’t change course outcomes. If the need lasts more than a few days or seems more complex, please refer the student to Accessibility Resources. Feel free to reach out to us if you’d like to consult on a specific case.
