Learn about the step-by-step process used to determine eligibility for reasonable accommodations.
Getting Started with AR
The Interactive Process
The Application Process
The first step is for the student requesting accommodations to complete the relevant application form(s) below. Students that wish to request both academic and housing accommodations must complete both forms.
Prospective Students: Must be accepted to RMC and have submitted the required deposit to submit accommodation applications.
Request for Temporary Accommodations: Students with temporary conditions (e.g. broken bones, recent surgery, concussions, etc.) can request temporary academic accommodations using the process described at the top of this page under Application Process.
Before submitting your application: please read the Documentation Guidelines to ensure you are submitting comprehensive documentation. Students also have the option to complete the relevant provider verification form(s) below:
The Interactive Process
Once a student submits an accommodation application, they will receive an email from an AR staff member to schedule their Initial Meeting.
During the Initial Meeting, the AR staff member and the student will discuss the student’s condition and the associated impacts and functional limitations. Any documentation provided will also be reviewed. If documentation is not provided prior to the scheduled meeting, the AR staff member will discuss documentation guidelines and provide instructions to submit documentation during the Initial Meeting.
Once the Initial Meeting is completed and documentation is received, the student’s accommodation requests will be reviewed by an AR staff member or committee to determine eligibility for services. It may take several weeks to arrange accommodations, depending on the accommodation and if documentation has been provided.
Please note that accommodations are not retroactive. This means that approved accommodations begin at the time they are implemented and cannot be applied to situations prior to the approval.
Follow-Up Appointment
If the student is approved for accommodations, an email will be sent to the Yellow Jackets email address to schedule the Follow-Up Appointment. This meeting will walk students through our office, their approved accommodations, the ARO Portal, and how to request use of your accommodations each semester. At the conclusion of the Follow-Up Appointment, Accommodation Letters will be distributed to Faculty.
The Appeal Process
If the accommodation request(s) are not approved, the student will be notified via email and are encouraged to schedule an appointment with an AR staff member to discuss the reason(s) for denial. If new documentation is provided, AR staff will review it again to determine eligibility. If the requested accommodation(s) is denied a second time, and the student is dissatisfied with the decision made by Accessibility Resources, the student can initiate the formal appeal process.
Formal Appeals must be submitted in writing, with supporting documentation included, to the ADA Coordinator via email at ADACoordinator@rmc.edu. The appeal must be filed with the ADA Coordinator within ten (10) days from the date of receipt of the original AR decision.
The ADA Coordinator may request any existing documentation from AR to review the decision, as well as any additional information from the student, in line with applicable law. The ADA Coordinator may also consult with appropriate administrators, including but not limited to the Vice President for Student Affairs/Dean of Students and Academic Support Dean, during any appeal process, as necessary and with confidentiality to the extent possible.
The ADA Coordinator shall make a written determination within thirty (30) days of the date the appeal is received. The decision of the ADA Coordinator shall be final.
