Parent/Guardian Access to Student Information
Randolph-Macon College recognizes that students may wish to share academic and financial information with parents, guardians, or other authorized individuals. Under the Family Educational Rights and Privacy Act (FERPA), students have control over access to their education records and may authorize access to designated individuals through MyMaconWeb.
Students may grant parents, guardians, or other authorized individuals access to selected information through the MyMaconWeb Parent Portal.
Authorized access may include
- Academic Records – academic information such as grade reports and unofficial transcripts. Residential contact information is also available here.
- Student Accounts – student account history and balances, as well as 1098-T information.
- Financial Aid Records – financial aid records, including missing documents.
Students determine what information is shared and may update or revoke access at any time.
Granting Parent/Guardian Access
Students may grant parents, guardians, or other authorized individuals access through MyMaconWeb by following these steps:
- Log in to MyMaconWeb.
- Select the Academics tab.
- Select the Student link (menu on left).
- Select Define FERPA Permissions.
- Enter the individual’s information. Confirm that the email address is entered correctly.
- Select the information you wish to share.
- Review and submit the permission form.
Once access is granted, the authorized individual will receive login information at the email address provided and may access information based on the permissions selected by the student.
Managing Access
Students may update or revoke access permissions through MyMaconWeb at any time.
Parent/guardian and authorized individual access remains active until:
- The student revokes access; or
- Access expires following the student’s departure from Randolph-Macon College (graduation, withdrawal, or suspension).
Students on an approved leave of absence retain access according to College policy.
Understanding FERPA and Student Privacy
The Family Educational Rights and Privacy Act of 1974 (FERPA) protects the privacy of student education records. At the postsecondary level, FERPA rights belong to the student, regardless of the student’s age.
Parents, guardians, and other third parties do not automatically have access to student education records. Students may authorize access through MyMaconWeb or provide written authorization as permitted by FERPA. In certain circumstances, FERPA permits institutions to disclose information without student consent, including disclosures permitted by law, such as to parents of dependent students as defined by IRS regulations.
