General Description of Services
The Physical Plant Department is a service organization dedicated to support the College’s Mission and its various constituents in a proactive manner. They provide a wide range of services to efficiently operate, maintain, and protect our facilities, grounds, and infrastructure, in such a way as to create and sustain a clean, safe, functional and aesthetic environment conducive to quality learning, living and working, while preserving Randolph-Macon College’s physical heritage for future generations. Their team of dedicated, skilled, and helpful employees strive daily to provide timely and quality services at the lowest possible cost. The Physical Plant staff provide the services that the campus needs to function on a daily basis. In short, the people who keep things running behind the scenes.
In our Residential Facilities, the physical plant are responsible for the general upkeep, which includes: cleaning of general areas like hallways and community bathrooms (and in some facilities - suite bathrooms and sink areas), repairing maintenance problems, responding to maintenance emergencies and continually updating our facilities.

How you can help our Residential Facilities
Our students are the ones who are living in our buildings and they are our eyes and ears. As a student, please make sure that if you have any maintenance issues with your residential room, you submit a work order for our Physical Plant so they can come out and fix the issue. Also, if you are having issues in your room with bugs, you can submit a work order to have the physical plant come through and spray your room. You will need to make sure that you cover up food in your room to help reduce bugs. Also, trash should be removed from your room regularly.
If it is during the day and you notice that you have a maintenance issue that is an emergency, you need to contact the Physical Plant during business hours (8:00am – 4pm, M-F) by calling 804-752-7244. If it is after business hours, you can contact the RA on Duty and Campus Safety and we will have a professional respond if it is an emergency. Otherwise, for all maintenance needs, we encourage our students to submit work orders.
Maintenance Emergencies are defined as:
Flood/Broken water pipe
Temperatures of extremity
Keys broken off in the lock
Doors that will not lock or unlock
Toilets that will not stop flushing
Toilets that will not flush and there isn’t another one available to use
Overflowing toilets/sinks/showers (they are flowing everywhere)
Fire alarm systems that will not turn off
No hot water, no cold water, no water
Broken glass panes (i.e. significant amount of broken glass, cracked glass, or unsecured rooms)
Door/Card Swipe Issues (doors will not lock or alarms that will not turn off)
Gas Smells
Smoking/sparks/beeping
Any life safety or security issues

Submitting Work Orders:
If your room throughout the year has something that is broke or damaged, please submit a work order so the College can get it fixed.
- Go to college website: www.rmc.edu
- Click on Offices and Departments on the right hand side of the page.
- Click on Residence Life and Housing
- On the left side of the page, click on Student Room Work Order
- You will then be asked to enter your email and password. This will be the same as if you are logging on to use any campus computer.
- Now you are given the actual work request form. Simply follow the instructions in filling the form out. Be specific and professional in order to help Physical Plant to operate as efficiently as possible.
- Click submit work order when you are done entering all information needed. You should receive a confirmation email within the next day or so.
Please note that you must place the work order from your Randolph-Macon email address. Outside email addresses will not go through the work order system.
Each student is responsible for entering maintenance work orders for his/her own room. No student may enter a work order for a room other than their own. If you have questions about entering a work order please contact your RA.
